POLICY AND PROCEDURE MANUAL
MAJOR CATEGORY: HUMAN RESOURCES
SUBJECT: OCCUPATIONAL HEALTH & SAFETY
STATEMENT OF INTENT
The Royal Geelong Yacht Club Inc. (RGYC) recognises its obligation to
provide a safe and healthy workplace for its staff, members, customers and
others who may visit or work at RGYC from time to time.
This policy has been written to:
• State RGYC’s Occupational Health and Safety Policy;
• Define the scope of activities covered; and
• Assign responsibilities and accountabilities for implementation of the
policy.
It covers all staff whilst they are on duty at work and also covers staff whose
duties take them off site. It additionally covers contractor employees whilst
they are providing services for RGYC or its members and the members of the
club engaged in working within the yard and marina and behaviour within the
club generally.
The Royal Geelong Yacht Club Inc. Health & Safety Policy Statement is
attached to this document.
Implementation of this policy will be facilitated by:
• The setting of appropriate standards to maintain a safe systems of work.
Where statutory or other requirements, codes or standards exist, RGYC's
standards will comply.
• A regular review and upgrade of RGYC standards to reflect changes in
work practice or technology.
• Consultation with all staff and affected parties in matters affecting their
health and safety at work.
• Informing all staff of their responsibilities for health and safety matters in
order that they can discharge them effectively.
• Advising members, visitors and contractors of their responsibilities for their
health and safety whilst on RGYC property.
The General Manager is responsible for the implementation of this policy.
Whilst at work all staff/contractors/members must:
• Take reasonable care for their own health and safety and for the health
and safety of anyone else who may be affected by their actions in the
workplace;
• Co-operate with management in their efforts to comply with occupational
health and safety requirements;
• Wear personal protective clothing provided to staff by RGYC under
specified situations or work areas.
• Not interfere with or misuse safety equipment within the workplace.
In compliance with the Health and Safety Policy, RGYC will:
• Publish the Health and Safety Policy for all staff, members, visitors and
contractors to access;
• Endeavour to eliminate all accidents/injuries which are foreseeable and
preventable;
• Conduct training programs for staff on occupational health and safety;
• Conduct a program of safety and housekeeping on regular basis;
• Prepare, implement and maintain workplace safety rules which will be
published for the information and compliance of all staff, members, visitors
and contractors.
Illness and Injury
In the event of a person affected by this policy becoming ill or being injured
whilst at work, the General Manager or appropriate Flag Officer should be
advised immediately.
At RGYC, Qualified First Aid Officers, with properly stocked First Aid Kits are
shown on the notice boards located around The Club premises.
All injuries must be recorded in the "Injury Register" which is maintained by
the First Aid Officers.
All injuries obtained whilst at work must be reported in writing to the General
Manager within five working days of the occurrence.

HEALTH AND SAFETY POLICY STATEMENT
The Royal Geelong Yacht Club Inc. (RGYC) is committed to protecting the
health and safety of its staff, members, customers and others who may be
affected by activities of RGYC:
• By providing and maintaining, so far as practicable, a working environment
that is safe and without risk to health in accordance with legislation,
regulations and codes of conduct;
• By providing and maintaining equipment and systems of work that are safe
and without risk to health;
• By providing adequate information on hazards;
• By providing instruction, training, leadership and supervision of staff,
members, and others to enable them to work safely.
RGYC seeks the co-operation of all staff, members and contractors in achieving and
maintaining a safe working environment.

GENERAL HEALTH AND SAFETY RULES
The Royal Geelong Yacht Club Inc. (RGYC) Health and Safety Rules have
been established for the benefit of all RGYC staff, members, visitors and
contractors. They represent the minimum standard required by all staff,
members, contractors and visitors, whilst they are on RGYC premises.
All staff, members, visitors and contractors are required to take reasonable
care for their own health and safety and for the health and safety of anyone
else who may be affected by their acts or omission at the workplace. They
are also required in their efforts to comply with any occupational health and
safety requirements.
The attached General Health and Safety Rules are to be:
• Provided to and discussed with all staff by the General Manager;
• Displayed prominently within RGYC premises;
• Provided to all new staff, and members and discussed during the induction
program;
• Provided to and discussed with all contractors before they commence
work at RGYC.
The rules are to be reviewed by the Occupational Health & Safety Committee
annually and amended taking into consideration new work practices, technology and
procedures.

GENERAL HEALTH AND SAFETY RULES
All RGYC staff, members, contractors and visitors are required to
comply with the following Health and Safety Rules:
All staff, contractors reporting to work must be capable of carrying
out assigned duties in an alert and efficient manner. Staff,
contractors who are under medical treatment must inform their
medical practitioner of the nature of their position at RGYC and
establish whether such treatment will inhibit their work performance
and if so they must inform the General Manager immediately.
The possession of alcohol by staff/contractors on RGYC premises, is
not permitted without RGYC approval. The consumption of alcohol
by staff/contractors on RGYC premises is not permitted at any time.
The consumption of alcohol in the area known as the repair yard
(bounded by the western wall of cadet shed, eastern wall of the club
house and the drain to the north) should be limited to times when
work activity has ceased for the day. All care should be taken to
avoid consuming alcohol when operating electrical equipment, using
scaffolding working at height.
The misuse of legitimate drugs or the use, possession or sale of
illegal or unprescribed drugs on RGYC business or premises is not
permitted. Staff/members will not be permitted to be in charge or
operate RGYC assets, including machinery or vehicles whilst
considered under the influence of alcohol or drugs.
Food and drink are to be consumed only in locations approved by
Management.
Personal protective clothing and equipment must be worn as
required in designated areas, checked regularly and kept in good
condition.
All RGYC health & safety requirements are to be complied with and if
you are unsure, ask the General Manager.
All RGYC vehicles are to be driven safely and in compliance with
RGYC Policy and State Legislation.
Unless part of your normal duties, do not adjust, alter, or repair any
equipment without approval of the General Manager.
All hazards observed by staff, members and contractors are to be
reported to the manager and if possible the hazard is to be rectified
by the staff member or approved person.
All accidents are to be reported and investigated in accordance with
RGYC occupational health and safety provisions.
Any disputes involving health and safety are to be resolved using the
RGYC grievance procedure.__________ _____ __________

POLICY & PROCEDURES
MAJOR CATEGORY: HUMAN RESOURCES
SUBJECT: GRIEVANCE PROCEDURE
This procedure has been developed to assist staff and members of the Royal
Geelong Yacht Inc. (RGYC) deal with issues relating to harassment,
discrimination and other work place/member related disputes.
If a staff member or club member has a query or grievance relating to
employment or membership, the matter should always firstly be brought to the
notice of the General Manager who will use his best endeavours to resolve
the issue in a timely manner.
1. An interview will be arranged with the complainant as soon as
possible to ensure all relevant details are thoroughly covered.
2. The accused individual will be interviewed shortly thereafter and given
an opportunity to put his/her case. The accused will be given the
opportunity to have a person of their choice (not a person intended to
be interviewed as a witness to the grievance) attend this interview as
an independent witness.
3. Any witnesses to the alleged grievance will also be interviewed.
4. All interviews will be recorded and a copy of record provided to the
person interviewed.
5. Once all the facts have been established disciplinary action where
required will be determined in accordance with provisions of
appropriate RGYC Policy.
If a satisfactory solution can not be reached, the issue should be referred in
writing to the Commodore who will arbitrate an appropriate decision.
Staff should avoid entering into discussion with other staff members on issues
of grievance, to avoid the possibility of their issue being openly discussed or
their receiving of incorrect or unqualified advice.
All communications with individuals associated with this process will be
treated with confidentiality.
No complainant or witness will be treated detrimentally as a result of their
complaint
